    When to Hire an Event Planner

    Most people don’t know when its time to call for back up and bring in an event planner. Whether you are ready to admit it or not, an event planner can be your saving grace. Here are a few indicators that can help you determine when it's time that you hire one:


    When you have a big vision and you don’t know where to begin. Everyone imagines a hugely successful event that will put all others to shame. Hundreds of guests will crowd the entrance of your venue, the menu will be delectable, standing ovations after every speech, tears from every eye; a vision of beauty. But how do you get there? If this is where the buck stops for you, it is important that you consider hiring an event planner. Lots of people wait until its too late to realize that they need help and unfortunately, the event suffers. Take a look in the mirror ahead of time and hire someone to help build a road map to your big visions from the start.


    When your event has measurable goals. If the purpose of your event is to raise a specific amount of money or if you are launching a new product, it may be in your best interest to hire a professional. When the stakes are high, there is no room for errors. Bringing someone on board to help you map out strategic steps for reaching your goals may prove to be the first step to ensuring that you reach your monetary or impact goals.


    When you’ve never planned an event. Sure, planning events may sound easy but it’s not! If the biggest event you’ve ever planned was your college roommate’s 21st birthday happy hour, don’t risk your big day by tackling it on your own. Hire someone with experience. Not only will a planner help you manage details that may have never crossed your mind (like what to do with leftover food!) but the right event planner can also save you a lot of money by negotiating venue contracts and catering costs. Don’t use your next event as your resume builder. Get the help you need!


    When you need to be present or want to enjoy your event. If you have an important speech to deliver, guests to greet or simply want to be around to enjoy the food or music, then you probably shouldn’t plan your event. Trust me.


    When your plate is overflowing. Events require a lot of time and attention. If you are juggling other high-stakes or time-consuming projects that may interfere with the planning of your event, you may need to hire an event planner. Make sure you compare how much time you actually have available for planning against all of your work, personal, and other demands. If it doesn't add up, don't try to force it. It'll make your life easier to get help and probably lead to an ever more successful event.

     

     

    When you can. The final reason you should hire an event planner is simple. If you can, do it! If you’re budget allows for the added comfort of having someone else worry about which menu is affordable yet elegant, how to capture the unique personalities of the guests of honor in the table centerpiece, where to hang the sponsors’ banners in a way that won’t conflict with a fun theme, or how to make sure Aunt Gwendolyn and Cousin Rebecca are not at the same table so that World War 3 doesn’t break out, then do it! You’ll thank me later.
