    Marketing Events Coordinator – Lancope (Apply Here)


    Responsible for managing all logistics of events from pre-planning to post construction stages including but not limited to registering, coordinating all reservations, assessing vendor participation, establishing partnerships with equipment vendors, preparing all marketing materials, organizing both demos and scheduling booth shipping. Assists in creation of internal and external promotional pieces for events and meetings. Oversees the inventory of Event Marketing materials and tracks shipping, handling, and delivery to and from event locations. Attends events to oversee and execute on-site coordination, evaluation and troubleshooting. Provides regular project status updates.

    Prepares all event documentation and coordinates with Sales, property departments and customer to ensure consistent, high level service throughout the pre-event, event and post-event phases of property events. This position primarily handles complex events. Ensures a seamless turnover from sales to service back to sales. Recognizes opportunities to maximize revenue by up-selling and offering enhancements to create outstanding events. Supports and acts on behalf of the Director of Event Management or Director of Event Planning and Operations in his/her absence. Serves as the event planner's primary contact (following turnover) on property and is responsible for his/her experience.

    Registers HCPs for training events. Creates and sends welcome letters for events and interfaces with HCPs directly and routinely to communicate training event information. Arranges HCP event travel and manages changes and cancellations in a timely manner and communicates status to pertinent individuals. Confirms medical license status, manages hospital licensing and/or temporary privilege requirements. Prepares event agendas, enters logistical data into database, coordinates trainee travel requirements and provides routine updates/reminders to physicians registered for training events. Prepares and distributes itinerary and travel packets two weeks prior to each event. Completes special projects and other duties as assigned by manager.
